Overall Responsibilities

The purpose of this position is to assist the Lead Youth/Internship Pastor through providing administrative assistance including but not limited to: scheduling, event logistics, communication and general secretarial duties. The administrative assistant is responsible to implement promotional projects and communications as directed by the supervisory. This position will also assist in coordinating logistics for the weekly high school gathering.

  • Must attend Life Center weekend gathering consistently and be an active part of serving 

  • Exceptional written and oral communication skills 

  • Ability to take initiative within boundaries established by the supervisor 

  • Demonstrates strong interpersonal skills 

  • Work with others in a close-knit fast-paced environment 

  • Maintain a high level of internal and external customer service and confidentiality 

  • Demonstrates a working knowledge of all Microsoft Office Programs and office equipment 

  • Capacity to utilize Church Community Builders data base to carry out functions of the role 

  • 2-3 years Administrative Assistant experience 

Essential Responsibilities

  • Perform administrative tasks including, but not limited to: utilizing copy machine, utilizing a computer, taking and publishing meeting minutes, inventorying and ordering supplies, managing supervisor’s calendar, and performing ministry-related tasks necessary for the effective functioning of the ministries 

  • Communicate with volunteers, parents, students, and interns in a professional manner 

  • Attend planning meetings and take minutes 

  • Provide logistical support in the preparation and execution of weekly high school gatherings and events as directed by the supervisor 

  • Communicate with parents of students and students in a professional manner 

  • Preparing basic informational flyers to carry-out ministry-related communications 

  • Responsible for submitting requests to the Communications Department or outside vendors for the creation of promotional materials 

  • Assists in budget tracking for high school ministry and Life Center Internship 

  • Utilize processes set forth by the accounting department to request reimbursements, petty cash, requisitions, and the like 

  • Utilize processes to order supplies through approved vendors, following the guidelines set forth by the Accounting Department 

  • Facilitate student enrollment & financial aid process 

  • Facilitate housing for interns, including furnishings, move in and out plans and tours 

  • Must be able to speak, hear, ambulate, drive, and lift up to 25 pounds 

  • Other reasonable ministry-related duties as requested 

Schedule/Hours: 20-24 hours per week (hours will vary, must be available some evenings and weekends)
